Transforming Order Processing Through Automated Bulk Uploading – Case Study

Our client’s AR team was previously manually processing their customer orders. This required them to manually review order documents, enter data into NetSuite, validate customer details, confirm stock availability, and configure delivery dates. The process was time-consuming and vulnerable to delays due to NetSuite's slow processing speeds.

To address this, an automated bulk-uploading solution was developed that extracts order information from incoming files, converts the data into structured CSV files, and uploads orders directly into NetSuite. The solution also performs validation checks, flags issues requiring attention, and generates detailed reporting.

The automation now processes hundreds of orders a month across the UK and ANZ regions, reducing manual effort from approximately five minutes per order to a fully automated process requiring minimal intervention. The result is faster order entry, improved scalability, greater operational efficiency, and increased confidence in order accuracy.

2. Client/Organization Overview

This business is a global premium mixer brand operating across multiple international regions, including the United Kingdom and Australia/New Zealand (ANZ).

3. The Challenge

Prior to automation, every customer order had to be reviewed and entered manually into NetSuite by an employee. Staff were responsible for:

  • Reading customer order documents in varying formats.
  • Verifying addresses, quantities, and product information.
  • Confirming stock availability.
  • Configuring delivery dates and order details.
  • Monitoring NetSuite to ensure successful order creation.

The process was further complicated by NetSuite's slow saving and processing times, with users often waiting one to two minutes for each order to complete before they could proceed. Manual entry was time-consuming and had a potential for human error.

With a number of orders processed daily across multiple regions, the manual approach was consuming a significant amount of operational time and limiting scalability.

4. The Solution

An intelligent automation solution was developed to eliminate manual order entry and enable bulk processing within NetSuite. The process performs a series of actions:

  1. Receives customer order files.
  2. Extracts and interprets order information automatically.
  3. Converts the data into a NetSuite-compatible CSV format.
  4. Uploads orders in bulk directly into NetSuite.
  5. Validates successful order creation.
  6. Performs stock checks and customer account checks.
  7. Flags overdue accounts or exceptions requiring investigation.
  8. Produces audit logs and a summary report for review.

The move from individual order entry to bulk CSV uploading significantly improved throughput and reduced dependency on manual processing. The solution was selected because it leveraged NetSuite's native import capabilities while providing greater speed and reliability than direct transaction entry.

5. Implementation

The project was delivered in several stages:

  • Initial development focused on training the document scraping functionality to accurately interpret customer order formats.
  • Order entry logic was then built to support automated NetSuite processing.
  • Validation checks and reporting features were added to improve reliability.
  • The team later identified an opportunity to leverage CSV bulk uploads, dramatically increasing performance and reducing processing times.

The full solution took approximately one month to implement, with one to two weeks spent developing the extraction capability and a further two to three weeks building and refining the order entry process.

Implementation also included continuous improvements as new customer formats and business rules were introduced over time.

6. Results

The automation processes hundreds of orders every month across multiple regions. Full order processing is completed in approximately 5–10 minutes. The automation supports 40+ customer accounts across multiple regions.

This has led to a range of benefits such as a reduced dependency on manual data entry, improved order accuracy through validation and exception reporting, same-day dispatch leading to faster order turnaround times and improved responsiveness to customers.

The bulk uploading process transformed a slow, manual, and resource-intensive order entry process into an efficient, scalable automation workflow. By automating data extraction, validation, and NetSuite order creation, the organisation significantly reduced operational effort while improving speed and reliability.

Today, the process supports dozens of customer accounts across multiple regions and continues to evolve as new requirements emerge.
