Application for payments – Case Study

Executive Summary:

Our client is responsible for one of the UK’s largest civil engineering projects. They are an infrastructure company who design, finance, build, maintain, and manage operations for a large tunnel system.

The problem this client was experiencing was that between months, they had lots of costs to calculate, in terms of movement. Each month, they had to prepare an Excel file comparing the current and previous month’s costs. Seeing what’s been added or removed.

This process was previously outsourced to a small team that spent up to 2 weeks each month preparing these files. Cevitr’s digital worker ‘Jo’ took on the automation of this task and completes it in less than 3 days. The information is then passed to the client, who adds the details to their database.

Client/Organization Overview: 

This organisation works on a large-scale modernisation project which has been running for roughly 8 years. Alongside construction and operations, it also supports long-term asset management and creates new public spaces and environmental benefits.  

The Challenge: 

This process centred around Application For Payments (AFP), each month our client had to work out the previous month's AFP and report on the changes from month to month. This required significant human effort and was a process that was identified as prime for automation.  

The Solution: 

This was a complex process that required significant planning from the Cevitr development team. Files were received from three separate regions in different formats; therefore, our digital worker Jo’s first task was to standardise the format. The source input lines were up to 3 million, which ‘Jo’ consolidates each month to around 1000 to 2000.  

Results: 

Before automation, this process was prone to the inevitable human error from checking millions of lines of costs. With our digital worker ‘Jo’ automating this process, errors are now prevented. This process has saved our client time and money and, most importantly, given them back control.
