Simplifying bonus statements for a leading retailer, wholesaler, and distributor of food and drink – Case Study

Executive Summary:

Our work with this client was a proof of concept to show the capabilities of ‘Jo’, our digital worker. This organisation's team was spending significant time processing the bonus statements. Cevitr runs 6 processes for this client, and Jo is trained on 9-10. Jo can run the process outside of office hours.

Client/Organization Overview:

This company is a family-run business with operations in retail, wholesale, as well as distributing food and drink. They have a rich heritage growing from a single store in 1917 to a £1.2 billion food and drink business.

The Challenge:

The business was spending time producing bonus statements on a weekly basis. The process involved extracting data from Excel spreadsheets and printing to PDFs. This was a lengthy process for the team to complete.

The Solution:

Cevitr’s bot Jo was brought in to automate this process. The Excel files are sent to Jo with bonus statements; there are a couple of 100 files. Jo generates PDF files from Excel and searches for the employee in Access, and sends the file to them via email. Setting up the process took 2 weeks of development plus testing. Each week, 600 items are uploaded successfully.

Key Takeaways:

The automation of this process has freed up employees to focus on higher-value tasks. Jo can complete the work outside of office hours and has a +99% success rate. The process is future-proofed, and our client can continue adding formats.
